Navigation Overview

After logging in, the sidebar contains the following menus:

  • Dashboard — View project activity
  • Projects — Manage projects
  • Checklists — Manage checklists
  • Task Library — Manage task templates
  • Files — Browse company files
  • Companies — View client companies

Migrating from the Old System

If you only used the previous system for file storage (network drive), simply go to the Files page after logging in. Your file directories and data have been automatically synced — no manual migration needed.

Understanding the System

The system is built around four connected concepts. Understanding how they relate to each other will help you navigate the platform effectively.

The Four Core Concepts

Here is a concrete example: registering a cardiac monitor ("HeartMonitor") made by Acme Corp for the Brazilian market.

Task Template — A reusable blueprint for one regulatory task, stored in the Task Library. Each template includes a name, description, and reference files, categorized by country.

  • Example: "BR-001 Product Technical Documentation" with reference files attached, categorized under Brazil.

Checklist — A bundle of task templates for a specific country, device type, and risk level, forming a standardized work package.

  • Example: A "Brazil / MD / Class II" checklist containing 12 templates covering all documents required for a Class II medical device registration in Brazil.

Project — A real registration case for one company and product. Created by selecting a company, product, country, device type, risk level, and checklist.

  • Example: A project named "HeartMonitor - Brazil - Acme Corp", using the "Brazil / MD / Class II" checklist.

Task Instance — An actual work item inside a project. When a project is created, the system copies every template from the selected checklist into independent task instances.

  • Example: The 12 templates become 12 task instances. Each starts as Pending and moves through: Pending → Submitted → Completed (or Needs Update if revisions are required).

Key point: Templates and checklists are reusable building blocks. Projects and task instances are where real work happens. Once task instances are generated, they are independent — changing a template later does not affect existing projects.

Task Template Management

Use when: You need to create, edit, or manage task templates

Quick summary:

  • Go to Task Library and click Create Template to create a template
  • Fill in Chinese/English name, country, reference number, and template files
  • Supports searching, filtering, editing, and deprecation

Use when: You need to create or maintain checklists

  • Go to Checklists and click Create Checklist
  • Specify the country, device type, and risk level
  • Add country-matching task templates on the detail page
  • Supports quick-creating and adding templates in one step

Project Workflow

Use when: You need to create projects, work on tasks, or manage files and comments

Quick summary:

  • Go to Projects and click Create Project
  • Select company, country, device type, risk level, and checklist in cascading order
  • The system auto-generates task instances and file folders
  • Work on tasks in the project detail page: upload files, add comments, update status
