Project Workflow

This guide covers how to create and manage regulatory submission projects, and how to work with tasks, files, and comments.


Creating a Project

Go to the Projects page and click the Create Project button.

Form Fields

Fields have cascading dependencies — fill them in order:

  1. Company — Select the client company
  2. Contract Number — Enter the contract number (max 100 characters)
  3. Product Name — Enter the product name (max 200 characters)
  4. Country — Select the target regulatory country
  5. Device Type — Select device type (options filtered by Country)
  6. Risk Level — Select risk level (options filtered by Device Type)
  7. Checklist — Select a checklist (options filtered by Country + Device Type + Risk Level)
  8. Employees — Select responsible team members (at least one required; current user is selected by default)

Project Name is auto-generated from the product name, country, and company name.

Country-Specific Options

Some countries show additional options below Risk Level:

After Submission

The system automatically:

  • Generates all task instances from the selected Checklist
  • Creates Gathering and Deliverable folders in the file system

Project List

The Projects page displays all projects in a table:

Click any row to open the project detail page.


Project Detail

The top section displays project information including project name, country, checklist, company, contract number, product name, device type, risk level, employees, and timestamps.

Action Buttons

  • Sync Checklist — Sync checklist updates (see below)
  • Edit — Edit project information
  • Delete — Delete the project

Editing a Project

Click Edit to open the edit page.

Editable Fields

  • Contract Number, Product Name
  • Country, Device Type, Risk Level (changing an upstream field clears downstream fields)
  • Employees (add or remove team members)
  • Country-specific options

Non-Editable Fields

  • Checklist — Cannot be changed after creation
  • Project Name — Auto-generated

Deleting a Project

Click the Delete button and confirm in the dialog.

Deletion is irreversible. All tasks, files, comments, and activity logs under the project will be permanently removed.


Task Management

The Tasks section at the bottom of the project detail page lists all tasks.

Task Details Dialog

Click a task row to open the details dialog with three tabs:

Details

View the task's Chinese and English title, description, and template reference files. Status action buttons are located above the tabs.

Files

Upload and manage task-related files:

  1. Drag files into the upload area or click to select
  2. Upload progress is shown with a progress bar
  3. Uploaded files appear in the list with download and delete options

Comments

Discuss the task with team members:

  • Type a comment and click send
  • Comments are displayed chronologically with author and timestamp
  • You can delete your own comments

Adding Custom Tasks

If the project needs tasks beyond the Checklist, click the Add Custom Task button:

  1. Fill in the Chinese and English title (required)
  2. Fill in the Chinese and English description (optional)
  3. Set the order number (auto-filled with the next sequential number)
  4. Click Add Task

Custom tasks are not linked to a template and are not affected by Checklist sync.

Downloading All Files

Click the Download All Files button to download a ZIP archive of all task files, organized by task folders.


Syncing the Checklist

When templates in the Checklist have been updated, click the Sync Checklist button on the project detail page to sync new templates as task instances.

Sync rules:

  • Newly added templates generate corresponding task instances
  • Existing tasks are not modified or removed
  • Custom tasks are not affected

Daily Workflow

Check Dashboard for recent activity
       ↓
Go to Projects and select a project
       ↓
Click a task → Upload files / Add comments / Update status
       ↓
All tasks completed → Deliverables archived in the Deliverable folder
